TERMS AND CONDITIONS

Natural Elements Vacation Rentals reserves the right to cancel bookings for reasons beyond our control. Such as but not limited to cancellation of contract between agents and property owner (full refund would apply), damage to rental premises, floods, earthquakes or other natural disasters (again full refund would be applicable). Please note refunds will not be given for bad weather. All facilities which may or may not be included with your rental such as but not limited to: hot-tubs, soaker tub’s, saunas, appliances, are at your own risk.

CHECK-IN AND CHECK-OUT

Check-in is 4:00 pm. Keys/ lock box code instructions will be provided upon final payment. Instructions will be emailed/phoned or sent via postal service. Please contact our office 250-726-3646 if you will be arriving after hours. For late arrivals, key will be placed in lock box at location on the rental property if for any reason we are unavailable, you may want to arrange pick-up of key at our office located at 1776 Peninsula Rd in Ucluelet. Check-out is 11:00 am. Keys can be placed back in lock box or can be returned to our office at 1776 Peninsula Rd in Ucluelet by 11:00 am on your departure day. There is a key box outside the office door for picking up and returning keys outside of office hours. Please not the cost of lost keys is $25 and will be charged deducted from deposit. If you find a problem with your room upon arrival let us know immediately and we will fix the problem. You must notify us upon check in should there be any issue with your accommodation, this allows us to promptly attend to/correct the issue. Please be advised that we have no control over "acts of god" such as power outages, floods.weather conditions.

ONE NIGHT BOOKINGS

Unfortunately we cannot accommodate one-night bookings. We suggest contacting resorts, hotels, motels or B&amp;B's for one-night accommodation requirements.

WEDDINGS, EVENTS, AND GATHERINGS

The properties we manage are located primarily in residential areas; therefore we do not allow our properties to be used as venues for events including weddings, receptions, reunions or gatherings for more people than what the properties can accommodate. This policy is in place to ensure quiet enjoyment of neighbours, minimal wear and tear and parking issues. We hope you enjoy the Vacation Rentals we manage, and we ask that you treat the premises you are renting with dignity at all times. Quiet time is between the house of 11pm and 8am if we receive any complaints due to excessive noise, from neighbours/residents or guests NER at its sole discretion reserves the right to charge a $140.00 Noise Fine.

AMENITIES - BED AND BATH LINENS

All properties are fully equipped with good quality bed linens and bath towels, hand towels, facecloths.All properties have kitchens with crockery and cookware. Starter supplies such as coffee, tea, soaps are usually provided. For those properties with hot tubs, hot tub towels are provided.

AMENITIES - KITCHEN

Our properties are self-contained and have kitchens equipped with cookware, glassware, flatware and utensils, coffee maker,  microwave and toaster. Dishcloths and dishtowels are provided as are toilet paper, dish soap, dish washer (detergent, and a starter supply of laundry detergent if those facilities are included in your stay). A starter supply of Coffee, tea, sugar and whitener are included with most rentals.

AMENITIES - BATHROOMS

A starter supply of soap, toilet paper and Kleenex is included with each rental. At most Vacation Rentals a hairdryer is also provided.

HOUSEKEEPING

Normally there is no housekeeping service during your stay. At time of booking, if you would like house-keeping services during your stay we can usually arrange housekeeping. After check out our housekeeper arrives, we ask that beds are stripped and first load of wash is started, the dishwasher is loaded and turned on and that garbage is disposed of before you check out. For properties without dishwashers, please ensure dishes are thoroughly washed and put away before you check out. Natural Elements recycles! A recycling bin is provided for each property.

PAYMENT

We accept initial booking payment by Credit Card only (this ensures your accommodation is reserved immediatley). Please note, booking will be considered pending until first payment which is 50% of total is received, or if booking is within 30 days of check- in, full payment will be due at time of reservation. When reservation form has been received and approved and first or full payment is received, property is considered booked.Full payment is due if reserving accomadations within 30 days of check in. A confirmation is sent after making payment. Upon receiving full/final payment directions to the rental, key/lock box directions and all other applicable information pertaining to your rental will be sent via email. Our cancellation policy is full refund if cancellation is over 30 days from check in, under 30 days notice from date of check in, full refund will only be reinstated if premises can be rented for the days booked, if premises do not get re-rented full payment is forfeited. A $55.75 processing fee will be added to all cancellations. Payments must be in Canadian funds. Natural Elements reserves the rights to correct any errors in calculations/invoices, and you agree to promptly pay outstanding amount, which could result from new staff, human error.

MAKING A RESERVATION

At the time of reservation, a deposit of 50% of total (accommodation total, cleaning fee, and applicable taxes) needs to be paid by Credit Card, this confirms your stay. The balance of the accommodation cost and pet fee where applicable is payable 30 days prior to your arrival. If you book within 30 days of your arrival the full cost of your accommodation is charged at the time of reservation. Damage deposit varies from property to property. Damage deposit will be charged at time of booking, and will be reinstated after check for damage has been completed pending no damage/excessive wear and tear/lost/stolen items.

LIMITATION OF LIABILITY

Natural Elements Vacation Rentals acts as a rental agent only in respect of the accommodation provided. Natural Elements Vacation Rentals is not the owner or occupier of the accommodation. Natural Elements Vacation Rentals will make every effort to ensure that the accommodation is provided as described for the time reserved, or to provide alternate equivalent accommodation. Natural Elements Vacation Rentals cannot guarantee that the accommodation will be available as reserved, as there are matters beyond its control including but not limited to loss of the accommodation by fire, flood, earthquake, tsunami, or other damage, changes of ownership, termination of management services, changes in the law, or seizure or other loss of the accommodation property. Beyond a refund of all payments made, Natural Elements Vacation Rentals assumes no responsibility or liability arising out of the accommodation not being available or suitable. Natural Elements Vacation Rentals assumes no responsibility or liability for injury, loss or damage arising out of the use or occupation of the accommodation. In agreeing to terms and conditions within this agreement you are hereby removing NER of any liabilities resulting from any amenities/liabilities such as tubs, hot-tubs, decks, slippery surfaces, beach front accommodations, ice. Please use tubs, hot-tubs, beaches at your own risk, and please ensure children of all ages are closely monitored at all times around decks and water (Ocean, Beaches, Tubs, Hot-tubs)!

CANCELLATION

There is a 30-day cancellation policy. If you cancel with 30 days notice or more your deposit less a $55.75 Cancellation Fee ($40.00 Cancellation Fee + $15.75 non-refundable Processing Fee) will be refunded to you. If you cancel with less than 30 days notice the entire cost of accommodation is forfeited, unless we can re-book the property for the entire length of stay booked.

NOISE

Quiet Time is 11:00 pm through 8:00 am. If we receive a noise complaint from neighbouring residents or guests arising from excessive noise after 11:00 pm or before 8:00 am Natural Elements Vacation Rentals may at its sole discretion charge you a $140.00 Noise Fine.

EXCESSIVE WEAR AND TEAR

The person making and paying for the rental of accommodation is financially responsible for the cost of repairs arising from any damage beyond normal wear and tear including but not limited to carpet/floor stains, interior wall damage, appliance repairs arising from improper use, window and window covering damage, permanent linen stains, dry cleaning costs associated with stains, breakage, theft, and any other damage noted on departure incurred, sustained or brought by any person occupying or using the accommodation. Any theft, lost items, excessive wear and tear, or damage will be withheld from Damage deposit. In signing you are agreeing you are the person financially responsible for the rental, and any costs incurred by the above that goes in excess of the deposit taken, will be charged to Credit Card number given at time of booking. In carrying forward with this reservation you hereby agree to pay for any excess damage/loss caused by you or any person during the dates you are occupying rental premises, if deposit does not cover damage, you agree to have remainder debited from Credit Card provided.

KEYS

You are required to return all sets of keys, keys are to be left on counter of rental upon check-out or to be returned to our office at check-out. There will be a $25 charge to replace any lost keys.

PETS

Pets are welcome at pet-friendly designated accommodations if indicated on our website. For those guests bringing pets, there is a pet fee of $10 per day plus 5% GST per pet. Dogs are required to be on leash pursuant to the Tofino /Ucluelet Leash Bylaw at all times when on beaches, trails, roads, etc. Guests are responsible for picking up and disposing of pet droppings at all times. Pets are to be supervised and attended to at all times during stay.

EXCESSIVE CLEANING

If additional housekeeping is required above and beyond the normal time allotted for each accommodation you will be charged at an hourly rate of $35 per person for each additional hour of housekeeping required. To avoid excessive cleaning fees please ensure that:
- the dishwasher is loaded and turned on
- any remaining dishes are thoroughly washed, dried and put away
- your garbage is disposed of (each property has an info sheet advising guests where to dispose of their garbage) and
- your recycling is organized
If premises have washing machine, please strip beds and start the first load prior to checking out, this allows the cleaners sufficient time to clean prior to the next check in. Thank You!

LATE DEPARTURE

Check-out time is 11:00 am. Any late charges resulting from an unscheduled late check-out will be charged to your deposit

SMOKING

For your health and enjoyment, all accommodations are non-smoking. A $250 Smoking Fine will be charged to your credit card if you smoke inside the accommodation. You may smoke outside the accommodation but are responsible for picking up and disposing of your cigarette butts.

PERMITTED OCCUPANTS

Each accommodation has a maximum number of permitted guests, depending on the number of sleeping units, as indicated on our website. Tents, campers or trailers are not permitted. If you arrive with more than the permitted number of guests, or have more than the permitted number of guests at the accommodation at any time, or try to over-ride contract re: number of guests Natural Elements Vacation Rentals reserves the right to cancel your reservation and the cost of your accommodation rental will be forfeited.

HOT TUB

If you are staying at an accommodation that has a hot tub, in signing this agreement you are agreeing to use those facilities provided at your own risk. You agree to read and abide by The hot tub rules provided in the accommodation booklet. The hot tub is checked on your arrival day and your departure day, and it will be checked every 2nd day during your stay. If the hot tub is required to be drained during your stay or on your departure day due to mis-use, or for any reason whereby Natural Elements Vacation Rentals feels the cleanliness of the hot tub is not up to standard for its next check-in, you will be charged $125.00 to drain, clean and refill the hot tub. Further, you are financially responsible for any damage to the hot tub including repair and/or damaged or missing parts due to misuse.

LOST AND FOUND

Natural Elements Vacation Rentals is not responsible for any personal items left behind on departure and will hold items for 2 weeks after departure. Items left behind will upon request be returned by mail COD or by other means as requested for a minimum of $25.

ACCEPTANCE OF RENTAL TERMS

By proceeding with a rental of accommodation provided by Natural Elements Vacation Rentals in its capacity as a rental agent, you are acknowledging that you have read, understood and accept the rental policies, that you agree to pay the accommodation costs and associated fees, and you agree to the limitation of Natural Elements Vacation Rentals liability. In carrying forward by filling the form and checking the box below you are hereby agreeing to all terms/policies and conditions and procedures in this reservation contract.
